Check the application information after it has been converted to PDF, and confirm receipt of the confirmation e-mail sent to your preferred address.
Once you have finished this step, your application status will show as [E-mail confirmed]. After checking your status, request preparation of evaluation reports and upload your application content file.
You can revise your application information as long as you have not submitted your application form, even if you have already requested preparation of evaluation reports and uploaded your application content file.

(2) Request a letter of intent from your host researcher
You cannot request a letter of intent until you have finished entering your application information. Check that your application status has updated to [E-mail confirmed] and request a letter of intent.
When you request a letter of intent, a request e-mail will be sent to your host researcher, who will then be able to log in to the Electronic Application System.
If your host researcher has logged in to the Electronic Application System with the ID and password sent in the request e-mail, their [Last login date] will be displayed. If their [Last login date] has not appeared after a certain amount of time has passed since requesting a letter of intent, they may not have received the request e-mail. Check your host researcher’s e-mail address and submit another request.
If your host researcher has lost their login ID and password, please click [Reissue password]. They will be sent their existing ID and a new password.
If you wish to change your host researcher, click the [Change host researcher] button, enter the new host researcher’s details, and request a letter of intent again.
If you wish to correct an error in the host researcher’s details, such as their affiliated institution, job title, or e-mail address, you can click the [Revise information on host researcher] button to do so. Please note, however, that if you revise your host researcher’s details after they already have submitted their letter of intent, they will need to resubmit it. In this case, no automated e-mail will be sent. The applicant must e-mail or contact their host researcher separately to ask them to resubmit the letter of intent.
When the host researcher completes their letter of intent, the applicant will be notified by e-mail at their preferred e-mail address, and the [Process status] below will show as [Submitted]. You cannot submit your application form to your Applying Organization’s administrative office until your overseas host researcher completes their letter of intent. Please note that the host researcher can revise their letter of intent as many times as necessary up until the applicant submits the application form. The applicant will be notified by e-mail every time a revision is completed, same as with the first submission.
You cannot request preparation of evaluation reports until you have finished entering your application information. Check that your application status has updated to [E-mail confirmed] and request preparation of evaluation reports.
When you request preparation of an evaluation report, a request e-mail will be sent to the evaluator, who will then be able to log in to the Electronic Application System.

However, if you are making revisions after an evaluation report has been prepared, you will need to have a new evaluation report prepared in order to reflect the revisions in the PDF version as well. In this case, your evaluator will not be notified by automatic e-mail, etc. The applicant must make sure to inform their evaluator by e-mail, etc. to re-submit the evaluation report.
When an evaluator completes their evaluation report, the applicant will be notified by e-mail at their preferred e-mail address, and the [Process status] below will show as [Submitted]. You cannot submit your application form to your Applying Organization’s administrative office until the evaluators complete the evaluation reports. Please note that evaluators can revise the evaluation reports as many times as necessary up until the applicant submits the application form. The applicant will be notified by e-mail every time a revision is completed, same as with the first submission.
The applicant cannot view what the evaluator has written.
